Designer - Export RecordsDesigner – Export Records

The Export Records tool allows you to extract and transfer data from your projects for reporting, backups, or analysis. With advanced filtering and configuration options, you can tailor exports to specific needs such as generating attendee lists, grouping records by Color Code, or filtering based on printed status. Records can also be copied directly into another project managed in Designer.

Export Record Configuration

Configure the export by selecting the appropriate options below.

  • Export To Select the export destination
    • External File Export data to an XML, XLS, or CSV file
    • Project Copy records directly into another project
  • Export Format Choose the output format
    • XML Best suited for backups. Includes project configuration, high resolution Photo IDs, signatures, and metadata
    • XLS Excel format with medium resolution Photo IDs, suitable for reporting and analysis
    • CSV Text based format containing record data only. No Photo IDs or signatures are included
  • Filter by Color Code Control which records are exported
    • All Export all records
    • Without Export records without a Color Code
    • Specific Color Code Export records matching a selected Color Code
  • Filter by Photo ID Export based on Photo ID presence
    • All Export all records
    • With Export records that include a Photo ID
    • Without Export records without a Photo ID
  • Filter by Printed Export based on print status
    • All Export all records
    • Printed Export records that have been printed
    • Not Printed Export records that have not been printed
  • Include Photos and Signatures Include Photo IDs and signatures in the export. Available for XML and XLS formats
  • Include Project Setup Include project configuration details in the export. Available for XML format only. When disabled, the XML file can be opened in spreadsheet software
  • Include Records Status Include record status values such as Active, Inactive, Trash, Lock, and Unknown

Export Formats

IDpack supports three export formats, each intended for specific use cases.

  • XML Recommended for full backups including project configuration and images
  • XLS Suitable for reporting and analysis with images included
  • CSV Lightweight format for data exchange with external systems

Data Format Guidelines

  • Country Code Use ISO 3166 alpha 2 with two uppercase letters
  • Gender Code Use ISO IEC 5218 numeric values
  • Language Code Use ISO 639 alpha 2 with two uppercase letters

Best Practices

Follow these recommendations to ensure reliable exports.

  • For Backups Use the XML format to preserve all data including images and project configuration
  • For Reporting Use the XLS format for editable reports in spreadsheet software
  • For Integrations Use the CSV format for simple data transfers
  • Apply filters such as Color Code or Printed Status to narrow exported data sets
